Shop Coordinator
Job Description

The Shop Coordinator supports the Shop Manager in ensuring the success of CT&V’s Shop & Fabrication Shop. This role will provide administrative assistance to the Shop Manager and process requests through the procurement mailbox. This full-time role reports to the Shop Manager and hours of work are from Monday to Friday 8:00am to 4:30pm. 

Job Duties:

  • Supporting the Shop Manager with administrative tasks; scanning of paperwork including BOLs, MTRs, packing slips, etc., inputting data into excel, calling suppliers, and maintaining accurate shop records and filing systems.
  • Reviewing new orders (from the shop or field) and ensuring they include complete specifications and materials lists. Printing lists for the Shop Manager to review and assist with fulfillment.
  • Answering phone calls, emails, and inquiries from clients and suppliers.
  • Responsible for monitoring the Procurement mailbox; printing material requests for the Shop Manager, creating purchase orders, requesting quotes from suppliers, coordinating trucking companies, etc.
  • Entering data into the inventory and asset management system (WASP).
  • Maintaining asset and inventory systems (WASP) which includes creating new asset numbers/tags, running reports, updating/adding purchasing information, uploading required paperwork, etc.
  • Running inventory reports to ensure minimum inventory is on hand in shop and working with Shop Manager on approval for any purchases.
  • Organizing and maintaining Storage Bay, ensuring a clean work environment.
  • Responsible for monitoring and receiving consumable orders, including ensuring orders are received on time and match purchase order, entering items into inventory management system, and putting items on the shelf for future use.
  • Entering of contracts and quotes into the Sage system to produce purchase orders (POs).
  • Arrange and track daily hot shots. Provide direction to the Hot Shot Driver, create bill of lading (BOL), scan BOL into the system, and update hot shot request log.
  • Partner with quality department to ensure API/ISO paperwork is maintained for the Approved Suppliers List.
  • Submit to our insurance company requests to add new/remove drivers and update Approved Drivers List.
  • Assist the Equipment Maintenance Technician in ordering supplies and booking appointments with suppliers.
  • Help the Shop Quality Coordinator with receiving non-consumables (MRR/MTD), when required.



  • Strong comprehension of procurement processes, an asset. 
  • Experience with an inventory management system, an asset. 
  • Effective communication skills (listening to and following instructions, conveying information to stakeholders). 
  • Previous experience with a construction or shop environment, an asset. 
  • Strong computer skills (SharePoint, Adobe PDF, Excel, Word, Sage). 
  • Strong organizational skills and ability to prioritize tasks. 
  • Ability to follow processes and adhere to safety standards. 
  • Strong work ethic and positive team attitude.  
  • Proficient problem-solving abilities. 
  • Capable of performing well under pressure and within tight deadlines and managing multiple requests. 
  • Willing to learn and grow with the company.
